Introduction

WorkflowDone (“we,” “our,” or “us”) operates the Idle Tab Cleaner – Smart Tab Manager browser extension (“Extension”). This Privacy Policy explains how the Extension handles information in order to provide core tab-management features, premium functionality, and optional AI-powered tab grouping.

We are committed to transparency and protecting user privacy. We only collect or process the minimal information necessary for the Extension to function, and we do not sell or use data for advertising.

1. Information We Collect

A. Information Stored Locally on Your Device

The Extension stores the following data only on your local device using Chrome’s chrome.storage.local:

  • Tab Management Settings (idle time, auto-close time, options)

  • Whitelist / Regex Whitelist entries

  • Session lock state

  • Profile settings

  • Dark mode preference

This locally stored data:

  • Never leaves your device

  • Is not transmitted to our servers

  • Is not used for analytics or tracking

Tab Activity Checks (Local Only)

To prevent accidental tab closure, the Extension’s content scripts perform real-time checks for:

  • Audio/video playback (hasMedia)

  • Presence of forms or typed input (hasForm)

  • Possible uploads in progress (isUploading)

  • User activity such as mouse movement, scrolling, or typing

These checks are executed on the device only and the results are not stored or transmitted. They are used solely to determine whether a tab is safe to close.

B. Information Sent to Our Server

We only transmit data when absolutely required for premium features or optional AI functionality.

1. License Key Validation (Premium Users Only)

When activating premium features, the Extension sends:

  • Your license key

Purpose:

  • Validate the license

  • Prevent unauthorized access

  • Unlock premium features

No browsing data, tab information, or personal information is transmitted during license validation.

2. AI-Powered Tab Grouping (Optional Feature)

If you use the AI grouping feature, the Extension sends the following information to WorkflowDone’s server:

  • Open tab titles

  • Open tab URLs

  • Tab index/order

  • User-selected grouping preferences

  • Authorization header containing your license key (premium users)

Purpose:

  • Analyze open tabs

  • Group them into categories

  • Provide organizational suggestions

This data is processed by our server and forwarded to an AI model (OpenAI) strictly for the purpose of generating grouping suggestions.

We do not store this data permanently.
We do not use it for profiling or analytics.
We do not share it with advertisers.

2. How We Use Information

We use collected data only for the following purposes:

  • To operate local tab-management features

  • To detect idle behavior and close tabs safely

  • To prevent closing tabs that contain media, forms, or in-progress uploads

  • To validate paid licenses

  • To provide AI-generated tab groupings (only when the user activates the feature)

We do not use information for:

  • Behavioral profiling

  • Market research

  • Sale of data

  • Advertising or cross-site tracking

3. How We Share Information

We only share information with the following parties:

A. WorkflowDone

  • Purpose: License validation, AI processing

  • Data: License key; tab titles/URLs for AI grouping

  • Retention: Not stored beyond what is required for processing

B. AI Provider (OpenAI)

  • Purpose: Generate tab-grouping suggestions

  • Data: Tab metadata (titles, URLs, order)

  • The AI provider does not use this data to train models or for any purpose beyond processing your request.

C. Infrastructure Providers

Our servers may be hosted by third-party cloud providers (e.g., DigitalOcean, AWS). These providers do not access your data except as required to operate the service.

We Never Share Data With:

  • Advertisers

  • Data brokers

  • Analytics companies

  • Social media platforms

4. Limited Use Disclosure

The Extension’s use of tab data complies with the Chrome Web Store’s User Data Policy, including Limited Use:

Information received from the Chrome APIs (such as tab data and activity data) is used only to provide or improve the features of the Extension. It is never sold, used for advertising, used to build user profiles, or shared with third parties except as required to provide the service (e.g., AI grouping).

5. Data Security

We implement the following protections:

  • Local-only storage for most data

  • HTTPS encryption for all API communication

  • No long-term storage of tab data sent for AI grouping

  • Access controls on license-validation endpoints

We do not maintain databases of user browsing history.

6. Children’s Privacy

The Extension does not knowingly collect personal information from children. It may be used by individuals of any age.

7. Your Choices

You may:

  • Use the Extension without activating premium features

  • Use the Extension without using AI grouping

  • Clear or remove all local data by uninstalling the Extension

  • Contact us to delete any license-related server data

8. Changes to This Policy

We may update this Privacy Policy to reflect new features or legal requirements. Updates will appear on this page with a revised “Last Updated” date.
